BY-LAWS FOR OKLAHOMA SMALL SCHOOLS BAND DIRECTORS ASSOCIATION

I. Name: This organization shall be known as the Oklahoma Small Schools Band Directors Association, or OSSBDA.


II. Purpose: The primary purpose of the association will be the operation and management of the yearly OSSBDA All State Band.

III. Meeting and Officers: The membership shall select the audition and clinic sites and dates, as well as a proposed list of clinicians, for the succeeding year at its annual meeting.

At such time the association officers will be elected for the following school term by majority vote of member schools present, with each director from each school getting one vote in all ballots. They will serve from July 1 to June 30.

The officers will be President, President-Elect, and Executive Secretary/Treasurer.

The president will be responsible for conducting all meetings of the association. He will appoint committees as needed and call meetings of the executive committee.

The President-Elect will be responsible to the above as informed by the President.

The Executive Secretary/Treasurer, once elected, will hold office until he resigns the position or is removed from office by a simple majority vote of members present. He will take minutes of all meetings of the association. He will be responsible for all monies collected and for paying all bills of the association. He will be responsible for conducting auditions and tabulations, which shall be carried out in an overt manner.

The Executive Committee shall consist of the three association officers. The committee shall decide all matters that come before the association that cannot be immediately addressed by the membership body.

Should a vacancy occur in the office of president, the president-elect will assume the office and appoint a director of a member school as president-elect until the next called meeting of OSSBDA, at which time a president-elect will be selected in the usual manner.

Should a vacancy occur in the office of president-elect, the president will appoint a director of a member school as president-elect until the next called meeting of OSSBDA, at which time a president-elect will be selected in the usual manner.

Should a vacancy occur in the office of executive secretary/treasurer, the president-elect shall act as such until the next called meeting of OSSBDA, at which time an executive secretary/treasurer will be selected in the usual manner.

Should a vacancy occur in the offices of president, president-elect, and secretary/treasurer simultaneously, the most recent past president will act as president, and who will then appoint directors of member schools as president-elect and executive secretary/treasurer until the next called meeting of OSSBDA, at which time a president, president-elect, and executive secretary/treasurer will be selected in the usual manner.

IV. Membership: OSSBDA may include all 2A-3A-4A dues paying schools according to OSSAA classification.

V. Every event sponsored by OSSBDA must be sanctioned by the OSSAA.

VI. Events: The all state band will consist of students from the tenth, eleventh, and twelfth grades. Auditions for the band will be one week before the first round of the All OMEA auditions and will use the same music. The audition music used may be changed by a simple majority vote of the membership. The audition site will have been determined the preceding meeting. The deadline for on-line entries will be six weeks prior to the audition date, and the fees or authorized school purchase order must be received on or before the audition date. Should on-line entry fail, written entries must be mailed to the secretary/treasurer at lease one week before the audition date. No recorded auditions will be accepted. A student may audition on more than one instrument, but he must pay for each audition.

VII. Fees: School membership and participation fee $75 annually (Updated 2022).

Audition Fee $10 per instrument (Updated 2013)

Clinic Participation Fee per student (Eliminated 2013)

All fees must be paid or encumbered by the first day of the clinic.

All debts incurred by an authorized school purchase order for the preceding year’s activities must be cleared before a school may participate in any further activities.

VIII. The director or designated sponsor must be present for the auditions and each day of the clinic, or the students from that school will not be allowed to participate.

IX. All students must follow OSSAA policy concerning home-taught studies and participation in sanctioned events. Students may participate in the Small Schools All State Band by being a member in good standing of their high school music organization and by attending all rehearsals and performances of the Small Schools All State Band. The student must be eligible academically under OSSAA guidelines at the time of auditions and at the time of the clinic/performance.

X. Amendments to the by-laws may be proposed by any member school and must be approved by a 2/3’s majority of the member schools present.

XI. Suggested maximum range of instrumentation: 0-1 piccolo; 0-10 flutes; 0-1 Eb clarinet; 0-18 Bb clarinets; 0-2 alto clarinets; 0-4 bass clarinets; 0-2 contra clarinets; 0-2 oboes; 0-4 bassoons; 0-4 alto saxes; 0-2 tenor saxes; 0-1 bari sax; 0-8 horns; 0-12 trumpets; 0-10 trombones (modified 2014); (bass trombone eliminated 2014); 0-4 euphoniums; 0-6 tubas; 0-1 string bass; 0-10 percussion (percussion modified/consolidated 2014).

The suggested instrumentation for the jazz band is as follows:  2 Alto Saxophones, 2 Tenor Saxophones, 1 Baritone Saxophone, 5 Trumpets, 5 Trombones, 1 Bass Trombone, 1 Guitar, 1 Electric Bass, 1 Piano, 1 Drum Set, 1 Vibes/Mallets
